Twelve thousand payouts, fees and refunds arrived every month, and two full-time controllers spent most of the close matching them by hand. Before switching anything on, the team analysed a full quarter of transactions inside Euphoria. Five rules described more than ninety percent of the volume, from recurring vendor bills to processor payouts. Those rules became the foundation of the new rules-based reconciliation engine.

Recurring vendors are now matched by reference, amount range and cadence, so the bills that arrive every month reconcile themselves before anyone opens the ledger.

Processor payouts were the next target. Euphoria splits each payout into gross revenue, platform fees and refunds automatically, posting every component to the right account. What once required a controller to rebuild each settlement line by line now happens the moment the bank feed lands.

Customer receipts match open invoices by amount, reference and a configurable date window. Partial payments and small rounding gaps are handled by tolerance rules, so they no longer become manual tickets.

Reviewing Only the Exceptions That Truly Matter

Whatever the rules cannot match becomes a short exception list, reviewed once a day rather than all month. Each item arrives with the most likely match suggested, so most exceptions are cleared in seconds instead of minutes of searching.

Every manual decision can be saved as a new rule with a single click. The exception list has shrunk month after month as the engine learns Goodwell's patterns, and the controllers now spend minutes on it, not hours.

A Forty-Eight Hour Close at Twelve Thousand Items

Goodwell's monthly close now finishes within 48 hours, an eighty percent reduction from the two-week process it replaced. More than 12,000 transactions a month are reconciled automatically.

The bigger win is where the controllers spend their time. Instead of matching receipts, both now focus on margin analysis by category and seller, giving leadership insight that simply did not exist before. The close is also calmer and more predictable, because the work no longer piles up at month end. As the controller puts it, month end used to take two weeks, and now it is done before the second working day.
